Employee starts an activity

Taps "Start Activity", enters a title (e.g. "Visit — ABC Wholesalers"), completes any configured start-form fields such as starting ODO reading or purpose of visit. GPS is captured automatically.

Location is detected automatically

TimePulse checks the GPS coordinates against your configured sites and client areas. If the employee is within a known boundary, the area name is recorded. If not, it's flagged as "Outside known area" for review.

Yes. The free plan supports up to 3 employees and includes GPS clock-in, live map, attendance records, and basic CSV export — forever, with no credit card required. The Pro plan at R250/month unlocks unlimited employees and the full report suite.
Do employees need to install an app?
No. TimePulse is a web application — employees log in from their phone's browser (Chrome, Safari, etc.) and clock in from there. No installation, no app store, no device management required.
How does the geofencing work?
You draw polygon boundaries (or set radius circles) around your sites and client areas on a map. When an employee clocks in, TimePulse automatically detects which site or client area they're in based on their GPS coordinates — no manual selection needed. If they're outside all boundaries, they're flagged as "Outside known area".
Can I track multiple sites and clients?
Yes. TimePulse supports unlimited sites and clients, each with their own map boundaries. You can set up a site inside a client area (e.g. "Warehouse" inside "ABC Manufacturing") — the system handles both layers of location.
Can I export timesheets for payroll?
Yes. TimePulse generates full payroll reports in CSV (UTF-8, Excel-compatible), Excel (.xls with formatted sheets), and PDF (print-ready). Reports include a summary sheet per employee and per-shift detail with clock times, hours, overtime, and GPS location for each event.
How does overtime tracking work?
You set your company's working days and hours (e.g. Monday–Friday, 08:00–17:00) in the Settings page. TimePulse then calculates normal hours (within those hours on working days) and overtime (before/after those hours, or on non-working days) for every shift. Both figures appear in timesheets and all exports.
Is my data safe?
All data is stored per-company and fully isolated — no company can see another company's data. All communication is over HTTPS. Passwords are hashed with bcrypt. We do not sell or share your data with third parties.
What is the Activity Log and how is it different from clock-in/out?
Clock-in and clock-out track the start and end of an employee's entire work shift. The Activity Log tracks individual activities within that shift — for example, a sales rep who visits three clients during one shift can log each visit separately, with a GPS capture at arrival and departure, custom form data, and duration per stop. Everything is then visible in the Activity Log report on a map showing the day's route.
What can I capture with the custom form builder?
You can create any combination of text fields (e.g. contact person, job number), number fields with units (e.g. ODO reading in km, units delivered), dropdown selects with your own options (e.g. visit purpose, outcome), checkboxes (e.g. signature obtained, follow-up required), and multi-line notes. You choose whether each field appears at the start of an activity, the end, or both. All captured data is visible per entry and in the activity log report.
Can managers see where a salesperson went and for how long?
Yes. The Activity Log report shows every logged activity for the selected employee and date range — in a table with start/end time, duration, the area or client detected at each location, and all captured form data. A map above the table shows start pins (green) and end pins (red) for each activity, with dashed lines between them. Admins can also edit any activity entry if a correction is needed.
Does TimePulse support facial recognition clock-in and clock-out?
Yes — facial recognition is available on the Pro plan. Admins enrol each employee in about 60 seconds by capturing 5 face angles. Employees clock in AND out in under a second using any phone, tablet, or webcam camera. GPS coordinates and a small photo snapshot are saved automatically on every facial clock event, and reports show whether each shift used facial recognition or the standard app.
